5 Steps Guide on how to migrate to a new platform

One of the biggest concerns when choosing a new platform is how to migrate from the existing tracking solution to a completely new one, without affecting your daily business. Indeed, it’s not an easy process and reasonable networks are afraid of the migration procedure, however with a plan and professional support, changing platforms can be done smoothly without any impact on your business. Therefore, we have prepared a 5-step guide that will help you get prepared correctly.  

 

1. Set up your new platform

Prepare your new platform so that it can welcome your publishers and make all customization required (add your logo, set up your network domain, adjust your tracking domain). Before announcing the move to the new platform it’s important that you familiarize yourself with how the platform operates, in order to support your publisher in case they have any questions. Create all users that are going to have access to the platform (e.g. affiliate/advertisers’ managers, finance, tech team) early on to give them enough time to get used to the new tool. 

2. Announce a migration date and inform your publishers days beforehand.

One of the most important things is that your publishers won’t be surprised by this change. Inform your publishers ahead of time that you decided to switch to a new tracking solution, explain to them the reasons for the platform change (e.g. faster more stable platform, exclusive features, lower pricing, better publisher portal, etc.). Provide a date so that they know when the new platform will be migrated. The majority of the publishers nowadays are using their own tracking solutions to run their affiliate campaigns, which means that they rarely access the network platform, unless they need to perform an activity which is not possible via API integration (e.g. request a payment). In most of the cases, publishers prefer to pull the offers and all data required on their end. Therefore, informing them on time will give them the opportunity to make all necessary changes (e.g. new API integration, set up tracking, whitelist IPs, etc.) so that they are ready to start sending traffic to the new platform as soon as it’s open. 

3. Execute Migration and add new offers and marketing material.

Migrating to a new platform is the perfect timing to clean-up offers and advertisers that are outdated. you are going to run with your publishers. Our experience has shown that networks migrating from one platform to another, quite often find out that many of the offers that were having in their system are outdated (e.g. links not working, payouts changed, status not accurate, etc. ). So, it is a great opportunity for a new beginning. Concerning vene dash there are two ways to move your offers from one platform to the other. Either you can pull them via API integration ( ask your vene dash account manager if the network that you are going to get connected to is already in the integrated platforms that vene dash supports ) so that you get the latest status of the offers that your advertiser has available for you. The second way is to export all offers from your old platform (we recommend doing it per advertiser) and then import the .csv file into the new platform. Vene dash import process is so convenient that you can easily match fields between the platforms, and get data imported on the right way so that no manual import is required.  

4. Create new accounts for your affiliates.

Here there are two options:  The first one (which is also the one recommended) is to ask your publishers to create their affiliate account by themselves, by using the official sign up form. Doing this will ensure that your affiliates will confirm your terms and conditions while it’s also a good chance to update their data and add the latest ones. The second solution requires more effort from your end, but it’s uncomplicated for your publishers: You can create the accounts by yourself (vene dash customers can request the support from the vene dash team so that they avoid any manual effort ) and add the users that each account should have as also a default password per account. What your publisher needs then to do is to check if his contact and payment details are correct and change the password so that he is the only one accessing the account.  

5. Create new tracking links.

As soon as you have completed all previous steps you are ready to create new tracking links per offer and publisher and send them to your publishers so that they can start sending their traffic to the new platform.
